Job Description:
Provide assistance for General Manager, help GM to manage her workload, organise her day and free up the time by providing administrative support.
- Screening phone calls, enquiries and requests, including handling them when appropriate;
- Dealing with incoming email, faxes and post, often corresponding on behalf of the General Manager;
- Meeting and greeting visistors at all levels of seniority;
- Organising and maintaining diaries and making appointments;
- Producing documents, briefing papers, reports and presentations;
- Organising, attending meetings, taking minutes and ensuring the General Manager is well prepared for meetings;
- Liaising with clients, suppliers and other staff;
- Deputising for the General Manager, standing in for GM in her absence, making decisions and delegating work to others in the General Manager's absence;
- Responsibility for accounts and budgets with Principals;
- Organising logistics for visitors from Principals as well as Head Quarter not limited to incoming visa, accommodation, transportation;
- Managing and reviewing filing;
Job Requirements:
- At least 2 years of similar experience
- Previous clerical, secretarial or commercial work experience is essential
- Fluent English & French speaking;
- Listening and Communication Skills;
- People/Interpersonal Skills: first line of communication between GM and the outside world, potentially speaking with clients, other employees and upper management;
- Organisation Skills;
- Computer Skills: Writing emails, transcribing notes, faxing, copying, and creating spreadsheets or printing documents figure heavily in an personal assistant's day;
- Flexibility;
- Adaptability;
- Ability to multitask;
- Secretary skills;
