1. EVBN Project Overview

The EU-Vietnam Business Network (EVBN) is a project co-funded by the EU, which overall objective is to increase exports and investments of the European Union to Vietnam, in particular by Small-, and Medium-sized Enterprises (SMEs), as well as strengthening the EU business sector in Vietnam.

The Senior Event Manager’s main role will be to organise, supervise and coordinate the organisation of the EVBN’s annual flagship event, the “EuroSphere: The European Art of Living” exhibition, which is going to take place on the 24th, 25th and 26th May 2019 in Ho Chi Minh City.

2. Key Tasks and Responsibilities

The Senior Event Manager shall: 

  • Coordinate the recruitment of the participants/exhibitors (European companies : minimum 150 brands), in collaboration with EVBN’s Business Development team and the Event Officer
  • Liaise with clients to ascertain their precise requirements
  • Produce detailed documents for main events (e.g. timelines, venues, suppliers, legal obligations, staffing and budgets)
  • Be responsible for the full P&L of the event
  • Secure and book a suitable venue or location
  • Ensure insurance, legal, health and safety obligations are adhered to
  • Coordinate venue management, caterers, booth designers, contractors, etc …
  • Organise facilities for car parking, traffic control, security, first aid, the media, etc …
  • Identify and secure speakers and/or special VIP guests
  • Plan room layouts and entertainment programmes, schedule workshops, etc …
  • Coordinate staffing requirements and staff briefings
  • Sell sponsorships/booths/exhibition spaces to potential exhibitors/partners
  • Prepare delegate packs and papers
  • Liaise with marketing and PR colleagues to promote the event
  • Liaise with clients and graphic designers to create production of tickets, posters, catalogues and sales brochures, as well as social media coverage
  • Coordinate suppliers, handle client queries and troubleshooting on the days of the event to ensure that all runs smoothly
  • Oversee the dismantling and removal of the event and efficient clearing of the venue 
  • Post-event evaluation (including data entry and analysis, and the production of post-event reports for event stakeholders)
  • Responsible for strategic decision-makings related to the organisation of the 2019 EuroSphere event, together with the Project Director
  • Other duties as requested by the Project Director

The Senior Event Manager will work under the supervision of the Project Director. 

3. Key Requirements

  • Open to both foreign and Vietnamese nationals;
  • Fluent in English (written and spoken) and preferable one or more other European lan-guages;
  • Vietnamese is an asset
  • Minimum 5 years of relevant business experience
  • Experience in event management, if possible fairs and/or exhibitions
  • Technical experience and understanding of how to establish and organise a large event
  • High capacity of managing teams, service providers, etc.
  • Extremely well organised and high attention to details 
  • Reliable and precise working style
  • Can organise ideas clearly, logically and concisely
  • Result and client-oriented and pro-active working attitude
  • Good understanding of the media sector in Vietnam: online, offline, TV, etc. a good personal network in the sector would be an asset
  • Ability to bring in own ideas and leverage on professional judgment
  • Ability to run projects independently and as part of a team
  • Ability to deliver results under time pressure
  • Motivated to take on new challenges
  • Efficient time management
  • Creativity skills
  • Very good communication skills/social skills
  • Strong interpersonal skills , outgoing personality, open minded
  • Eager to work in an international environment
